Term & Policies

By booking any service, rental, or session, you agree to all policies listed below.

HEALTH & SAFETY – STRICT NO-SICKNESS POLICY

If you, a client, or any guest shows signs of illness (coughing, fever, congestion, flu-like symptoms), you will be turned away immediately.
No exceptions and no refunds.
If you feel unwell, you must reschedule in advance. Arriving sick results in forfeiting your session.

BOOKING & RESERVATIONS

All bookings must be made through collabstudiotx.com.
Arrive 15 minutes early for setup.
Rental time begins and ends at the scheduled time, regardless of arrival time.
Session time includes setup and breakdown.
Overtime is billed in 30-minute increments at the current studio rate.

CANCELLATIONS, RESCHEDULES, AND NO-SHOWS

24-hour notice required to cancel or reschedule.
Late cancellations may incur a $25 fee.
No-shows forfeit all fees and may lose future booking privileges.
Sessions involving multiple participants, production setups, or custom sets cannot be moved same day.

GUEST & PARTICIPANT POLICY

Limit of 2 non-participating guests (not including photographer/videographer or essential crew).
No children unless they are actively participating in the session.
Base rental rate includes 1 participant.
Group rates apply for 3–20 participants.
Groups of 16+ participants must call for approval before booking.
Unapproved guests may result in immediate termination of the session without refund.

STUDIO USAGE RESTRICTIONS

Private bookings only.
Public events, ticketed sessions, classes, meet-ups, or open-invite gatherings are not allowed.
The studio may not be rebranded, resold, or advertised as your personal studio.
Violations may result in termination of the rental and refusal of future bookings.

DRESSING ROOM POLICY

Dressing room use is first come, first served. Since this is a bookable studio your rental does not guarantee use or availability. This room is only guaranteed if booked as a studio rental.
Includes vanity lighting, steamer, seating, and prep area.
All getting-ready activity must occur within your booked time.
Dressing room must be cleaned after use, including makeup areas.
Clothing tags, packaging, and trash must be discarded.
No makeup staining on furniture or decor.
Hot tools must be used only on provided protective mats.
Excessive mess, stains, burns, or damage may incur cleaning or repair fees.

LIGHTING, GEAR, AND PROPS

Standard lighting, stands, and basic modifiers are included and first come, first served.
Specialty lighting or additional gear must be requested in advance and may require a fee.
Clients may bring their own equipment; large props require pre-approval.
Messy props (glitter, confetti, powder, liquids, paint, etc.) are not permitted.

SEAMLESS BACKDROPS

Backdrops are subject to availability.
White and beige backdrops require a usage fee unless a clear mat is used.
A second backdrop color requires an additional fee.
Custom backdrop colors must be requested at least 14 days in advance and may require a purchase fee.
Personal backdrop rolls may be used with prior approval.

STUDIO CLEANLINESS AND CONDUCT

The studio must be respected and kept clean throughout the rental.
Disruptive behavior, verbal aggression, or unruly guests will not be tolerated and may result in removal without refund.
You are responsible for any damage to studio property, equipment, furniture, or decor.
Notify staff immediately if anyone becomes unwell during the session.

GENERAL HEALTH REMINDER

Any client or guest exhibiting signs of sickness will be turned away without refund.
This policy applies to all bookings, including studio rentals, production sessions, and memberships.

LIABILITY WAIVER

The Collab Studio is not responsible for injuries, accidents, property damage, or theft that occur during any booking.
By entering the studio, all participants waive liability claims against The Collab Studio.

RIGHTS & USAGE

The Collab Studio may capture behind-the-scenes content or general footage for marketing purposes unless a written request is submitted before your session stating you do not consent.
Written requests must be provided prior to arrival.

GENERAL AGREEMENT

By booking, you acknowledge that you have read, understood, and agree to all policies listed.
These policies apply to hourly rentals, mini sessions, specialty sessions, production services, membership access, and all studio usage.

Gift Card Policy

Digital Gift Cards
All gift cards issued by The Collab Studio are digital eGift Cards delivered by email and may be used toward eligible studio rentals, creative services, workshops, and curated experiences unless otherwise noted.

Redemption

Gift cards are non-refundable and cannot be redeemed for cash, except where required by law
Gift cards may not be resold or transferred for value
Gift cards must be applied at checkout and cannot be retroactively applied to completed purchases

Partial Use
If a gift card does not cover the full cost of a booking or service, the remaining balance must be paid at the time of booking.

Remaining Balance Cash-Out (Texas Requirement)
In compliance with Texas law:

If a gift card is redeemed in person and the remaining balance is less than $2.50, the holder may request the remaining balance in cash

Fees

No dormancy, inactivity, or service fees are applied to gift cards
Replacement of lost or deleted digital gift cards may require verification and is not guaranteed

Lost or Stolen Gift Cards
Treat gift cards like cash. The Collab Studio is not responsible for lost, stolen, deleted, or unauthorized use of gift cards.

Promotional Restrictions
Gift cards may not be valid toward certain promotions, discounted packages, or third-party services unless explicitly stated.

Unclaimed Property
Unused gift card balances may be subject to Texas unclaimed property laws after a period of inactivity.

Policy Updates
The Collab Studio reserves the right to update this policy at any time. Current terms will always be available on our website.
